Project Management
Multiple Industry Support
Each of your projects belongs to one of several available industries. Workflows and tasks are then customized for the industry you select--making your experience on VinyasaMT more intuitive and productive.
Multi-Company Project Teams
Get the entire project team, even people from other companies, working together in harmony. VinyasaMT keeps everyone on track by allowing different companies to work together on their projects--automatically developing a community of collaborating companies.
Team Member Project Permissions
Permissions are defined for each team member at the project level. This allows project managers to have precise control over what each of their team members can see and do. Want someone who can see other member's tasks but not respond to them? No problem. VinyasaMT lets you easily decide who can do what.
Roles
Roles make it even easier for project managers to set their team member's permissions by letting them save and re-use common permission sets. Setting permissions for a team member that fills a common role becomes as simple as selecting their role (although you can fine-tune things to your heart's content).
Milestones
Track key events in the project's lifespan, along with the tasks that should have been completed up to that point. Milestones give project managers another way to determine whether or not their project is running on schedule.
Parts
You can define a tree of parts, components and assemblies for each of your projects--complete with revision history and a change management system. Then, project team members can be tasked to work on these parts and perform the changes necessary to move them into their next revision.
Health And Progress Rollups
As the tasks and workflows of a project are worked on, the project's percent complete and estimated health are automatically updated in real-time. This lets project managers and upper-management easily get a birds-eye view of how their projects are actually doing as a whole at any given time.
Customer Tracking
Each project allows you to track who your customer is--letting you later generate reports for each one of your customers. This is perfect for things such as billing where you wouldn't want to include other companies in the report. And if your customer uses VinyasaMT, they'll be able to generate these reports too.
Project Explorer
Easily navigate through every nook and cranny of all your projects using the intuitive Explorer. This lets you browse through every part of the projects you have access to in a tree view--perfect for when know right where something is or if you want a quick look at how your projects are structured.
Customer Care
Issue Tracking
VinyasaMT gives you full-featured issue tracking system for tracking issues with the project, bugs, feature requests, and more. Any project team member can raise a new issue--instantly notifying the project managers of what's at hand.
Private Issues
VinyasaMT even allows you to track issues that are private--keeping other companies on the project team from seeing them. This will come in handy if you ever have an issue with another team member or another company, but you only want your own company to know about it.
Tasks to Resolve Issues
Why just track problems when you can track how to solve them as well? An issue can be associated to the tasks that help resolve it--letting you keep track of what needs to be done to resolve open issues.
On-The-Fly Task Creation
If you have a simple issue that only requires one task to resolve it, you might want to create the task and issue together. On-The-Fly task creation allows you to easily create a single task along with a new issue--all at the same time.
Instant Notifications
Email notifications are automatically sent to the appropriate team members at key points in the issue's lifespan. When a new issue is raised, the project managers are notified, and when all of an issues tasks are completed, the team member who raised the issue is notified. The right people are always kept in the loop automatically.
Health And Progress Rollups
As the tasks that help resolve an issue are worked on, the issue's percent complete and estimated health are automatically updated in real-time. This lets project managers and upper-management easily get a birds-eye view of where their open issues stand, and keeps issue owners updated on how their issues are progressing.
Workflow Management
Multiple Project Workflows
Workflows give you an easy way to better organize different sets of tasks, and they typically relate to a certain project milestone. VinyasaMT allows you to define as many workflows as you like for each of your projects. These are an essential part of a project management system that even some of the best tools leave out.
Milestone Association
Workflows typically relate to a certain milestone. In VinyasaMT, you have the option of tracking this right within the workflow. So, once a workflow is complete, you can check it against its related milestone to see whether the project is on track or not.
Workflow Templating
If you have a process that's used over and over again, you can make a workflow template for it. The next time you want to use it, instead of re-creating all the tasks from scratch, simply create a new workflow from the template. The start and due dates of the new tasks will automatically be adjusted to reflect the starting date of the new workflow--just assign the tasks and you're done!
Re-Use Proven Processes
You don't even need to create your workflow templates from scratch. If you've proven a workflow process in VinyasaMT, simply create a template out of the existing workflow. You can re-use your proven processes by creating new workflows from these templates.
Health And Progress Rollups
As the workflow's tasks are worked on, the workflow's percent complete and estimated health are automatically updated in real-time. This lets project managers and upper-management easily get a birds-eye view of where their workflows stand, and lets them identify problems before they arise.
Task Management
Task Logs
Tasks logs are where all the action in VinyasaMT takes place. As a task is worked on, task log entries are made that update how many hours have been spent on the task, how complete it is, and more. In fact, any communication about a task can be found in its task log--along with any task changes. This creates a persistent and trackable history of every happening in every task, while automatically driving time reports, health and progress estimations, and more.
Hour Tracking
VinyasaMT makes it easy to track your estimated hour requirements vs. hours actually worked. It's as simple as estimating how long a task will take to complete. Once a task is worked on, hours will be logged and automatically compared to the hours you projected. These numbers even roll up to parent tasks, workflows, issues and projects to give upper-management a birds-eye view of the hours being worked.
Progress Estimation
Not only do team members log their hours as they work on a task, but they can also estimate how complete they are by simply dragging a percentage progress bar when logging an entry. This information is also rolled up into parent tasks, workflows, issues and projects so that everyone can see how their areas of interest are progressing.
Automatic Health Estimation
Using all the information about a task's hours, estimated progress, due dates and more, VinyasaMT can calculate an accurate health estimation--instantly bringing possible problems to attention before they can cause harm. These estimates are then rolled up into parent tasks, workflows, issues and projects to give everyone an accurate idea of how things are going at any level of detail--all with a quick glance.
Entry Notifications
Notifying team members of new log entries is as easy as selecting them. You can also request action from a team member in regards to your entry, include your entry comments with the notification, and even request an email receipt.
Instant Task Notifications
Email notifications are automatically sent to the appropriate team members at key points in the task's lifespan. When a new task is assigned, the assignees are notified. When a task is marked for review, the task's assigner and sign-off group are notified. The right people are always kept in the loop automatically.
Constant Task Responsibility
There is always someone responsible for moving a task to its next step--it can never simply "fall off the table" and be forgotten. Once a task is assigned, the assignees are notified by email and the task will continue to appear on their "My Tasks" page until it's completed--at which point the task's assigner or sign-off group are responsible for reviewing the task for completeness.
Group Assignments
Tasks can be assigned to more than one person or to pre-defined user groups, making it possible for other task members to pickup where an absent member left off. This is also perfect for when the task assigner doesn't know who can best handle the task.
Task Reassignment
Tasks can be re-assigned by anyone the task was assigned to. So, even if the task assigner didn't assign the task to the appropriate team member(s), it can be re-assigned correctly without further input from the assigner. This feature also allows a task member knows they won't be available to work on a task to re-assign it to someone who can.
Sub-Tasks / Task Division
VinyasaMT handles sub-tasks intuitively and comprehensively by allowing large tasks to be divided into smaller ones--both by the task assigner (for organization), or by task assignees (to breakup a large task into manageable parts). Hours logged on subtasks can either be rolled up to the parent task automatically as they're entered or manually by logging additional entries to the parent task.
Checklists
Create checklists for commonly assigned tasks that can be re-used over and over. Before completing a task with a checklist, every item must be marked off--forcing the task assignees to pay close attention to the work that needs to be done.
Task Review Sign-Offs
VinyasaMT allows you to specify a list of team members who will review your task once the assignees think they've finished with it. These task reviewers will be notified when a task they need to review is complete, and each one must give their approval before the task is officially closed.
Reference Numbers
Each task in VinyasaMT is automatically given a reference number, but you can add you own customized reference numbers to be tracked as well. This allows you to easily match tasks to external purchase orders, invoices, work requests, and more.
Auto-Generated Timesheets
The hours that your employees log to tasks in VinyasaMT automatically get added to their timesheet for that week as well. Miscellaneous hours such as vacation or sick time can be added at the end of the week, and employees can even print and sign their timesheets for review and filing.
My Tasks Page
The My Tasks page combines all the tasks that have been assigned to you into one easy-to-manage list, while overdue and high priority tasks are highlighted so you can quickly see what to do next. Project managers can also use the My Tasks page to see the status of the tasks they've assigned to others.
Data Management
Attach Files To Anything
Files can be attached to almost any area of the system to help describe the different parts of your project. Have a 3D model of a new part? Just attach it to the part. Have blueprints for the task you're assigning? Attach it right to the task. Permissions are also available if you want to keep certain team members from accessing attachments in specific areas.
File Versioning
VinyasaMT includes a powerful, yet easy-to-use file versioning system to help you track changes to every file in your project. VinyasaMT simplifies the traditional check-in/check-out approach by letting file owners approve or reject revisions made to their file. The result is intuitive enough to allow the entire project team to contribute to file changes, while powerful enough to keep your documents under control.
Custom Project Folders
If you have a folder structure you are already comfortable with, you can use it in VinyasaMT by defining custom project folders to organize miscellaneous project documents. Files attached to your custom folders are also put under version control.
File Cabinet
With so many files attached to so many different places, it can sometimes be hard to see where everything is. This is why we added the File Cabinet--a comprehensive view just for browsing your project's files. To further simplify things, the File Cabinet can be flattened from a full tree view, down to just projects and files.
Part Management
Part Tracking
You can define a tree of parts, components and assemblies for each of your projects. Parts can be parts of a car, subsystems in a software application, or any other part of the project being worked on.
Change Management
Parts contain their own change management system in VinyasaMT. New part revisions can be added to existing parts, along with the changes that will be made during the new revision. The latest part revision is always made apparent, while the complete history of the part is available to review.
Part Data Organization
Part revisions have a pre-defined set of folders for attaching files to, so the data that represents your parts are always organized in a consistent structure. Also, VinyasaMT's file versioning system spans across multiple part versions, so a part's file revisions can be versioned alongside the part revisions.
Tasks To Work On Parts
Tasks can be associated with specific part revisions--making it easy to assign team members to work on the latest change to a part. When a part revision is associated to a task, the assignees have quick access to all the part's information and files.
Collaboration
Multi-Company Communities
Other systems keep different companies separate--a strange thing for collaboration software to do. VinyasaMT takes on a totally different structure by connecting companies in a single hosted environment. This way, no company or user is ever duplicated in someone else's intranet. You have a single login allowing you to manage every project that you belong to. With this approach, a community between collaborating companies is automatically developed.
Free Guest User Accounts
Want to task someone to do something, but don't want them to have to pay for a VinyasaMT subscription? No problem. Guest users can be added for free, and they can still respond to tasks and log their hours like normal. There's really never a good reason not to add your entire project team.
User Groups
Instead of adding individual users over and over again, groups of users can be defined and re-used. This allows you to set permissions on an entire group at once, task an entire group, and more. You can even share your user groups with other companies--letting them assign tasks without needing to know exactly who to assign them to. Instead, a group like "Programmers" or "Designers" would be assigned, and the group members would decide who should perform the work.
Automatic Address Book
VinyasaMT can look at all the users and groups on all the projects you've been added to and automatically generate an address book. Contact information for everyone you're working with is always just a click away, and you'll never need to send your contact information to other project members again.
Allow Actions On Your Behalf
No matter how helpful VinyasaMT may be, some team members may simply refuse to use it. This may make it harder to track what these users do, but it's not impossible. These users can simply appoint someone else to temporarily take control of their account to make sure things are tracked correctly. This feature also comes in handy when a user doesn't know how to do something and would like someone else to do it for them.
Reporting
Print-Friendly
Every area of VinyasaMT has a print-friendly view which allows you to easily print anything you see. Just click the Print button on the page's toolbar and the page will be formatted for printing.
File Transfer Summaries
The File Transfer Summary report lets you see who has uploaded and downloaded what during a certain period of time. You can filter the report by company, user, file type, etc. and you can organize the report anyway you like. The report includes the bandwidth that was used and links to the files shown.
Time Summaries
Time Summaries show you how many hours have been worked on your various projects, workflows and tasks during a certain period of time. You can filter the report by project, task type, etc. and you can organize the results anyway you like. This is perfect for doing billing or to find where the most time is being spent.
Timesheets
The hours that your employees log to tasks in VinyasaMT automatically get added to their timesheet for that week as well. Miscellaneous hours such as vacation or sick time can be added at the end of the week, and employees can even print and sign their timesheets for review and filing.
System Architecture
Certified SSL Encryption
After logging in, VinyasaMT switches to a high-grade 256 bit AES SSL cryptographic protocol to encrypt all communication being sent to and from our servers. This keeps your sensitive data incredibly secure as it travels across the network.
MySQL / PHP
We stand behind the de facto open-source web development platform for its unrivaled combination of speed, stability and ease-of-use. This means new features can be added quickly, bugs are rarely seen (and fixed immediately when they are), and VinyasaMT continues to run smoothly even during peak usage.
Nightly Backups
In addition to standard RAID arrays and clustering, backups are performed every night of the week and transferred securely to an offsite location. In the extremely unlikely event of a complete disaster, VinyasaMT would be back online momentarily with less than 24 hours of data loss.
